Where they started.

When we first met the owner of Hooked on Books, she was doing it all herself. Scheduling. Billing. Enrollment. Staff coordination. Compliance paperwork. Every day, before she even got to the actual work of running a childcare center.

She also had grant funding she couldn’t access. Not because she wasn’t eligible, but because the systems to apply weren’t there.

What we found.

Everything lived in the owner’s head. There were no written processes. New staff needed constant hand-holding. Enrollment was manual: phone calls, paper forms, follow-ups tracked in a notebook. Billing was inconsistent. The grant applications had been sitting on the to-do list for months.

The business wasn’t broken. It was completely owner-dependent. Nothing could happen without her involvement. That’s the ceiling every service business hits eventually.

What we built.

We rebuilt the operational backend from scratch. A full SOP library covering every repeatable process. Automated enrollment intake: new families complete a digital form, get an instant response, and enter a structured onboarding flow. Billing triggers. Staff onboarding documentation. Grant application infrastructure.

What changed.

Enrollment is now fully automated. New staff can onboard without the owner involved. Grant applications run on a system instead of a to-do list. Recurring grant partnerships across OST, CACFP, and GSRP now generating six figures annually. And the owner, for the first time, has real capacity to think about growth instead of just operations.
